Landmark Charter Group ("Landmark," "LCG," "we," "us" or "our") is a private aviation charter brokerage based in Texas. This Privacy Policy explains what personal information we collect through landmarkcharter.com and our related online services (together, the "Site"), when you request a quote, ask about a membership, create an account, or travel with us. It also explains how we use and share that information and the choices you have.
By using the Site you acknowledge this Policy. If you do not agree with it, please do not use the Site or send us personal information. Questions can go to info@landmarkcharter.com.
Summary
- We collect what you give us (contact details, trip details, traveler information) and a limited amount of technical data from your browser.
- We use it to quote, arrange and manage your travel, run your account, and communicate with you.
- We share trip details with the aircraft operators and service providers who need them to carry out your trip, and with authorities when the law requires it.
- We do not sell your personal information, and we do not run advertising or cross-site tracking on the Site.
- You can ask us to correct or delete your information, and you can opt out of marketing emails at any time.
1. Information we collect
Information you provide
- Quote requests and membership inquiries: your name, email address, phone number, company, trip details (airports, dates, preferred departure times, number of passengers, aircraft preference), the program you are interested in, and anything you write in the notes.
- Accounts: your name, email address and password when you create a member account. Passwords are handled by our login provider and are never visible to us.
- Traveler information for a booked trip: each traveler's legal name, date of birth, gender, and approximate weight (needed for aircraft weight and balance), luggage details, contact details, and preferences such as catering or ground transportation. If you choose to tell us about accessibility, medical or dietary needs so we can arrange accommodations, we use that information only for that purpose.
- Identity and security information: where an operator, customs authority, or security rule requires it (for example on international trips), we may need passport or other government-issued identification details and known traveler numbers. We ask for these only when needed for a specific trip.
- Agreements: when you accept or sign a quote or agreement we record your typed signature and the date and time.
- Payments: we arrange payment with you directly and through payment providers. The Site does not collect or store payment card numbers.
- Communications: emails and other messages you send us, and your replies to our messages.
Information from others
Someone else (an assistant, employer, or fellow traveler) may give us your information when they book on your behalf. We also receive trip information from the aircraft operators, ground transportation providers and other suppliers involved in your travel.
Technical information
Our hosting provider records standard server information such as IP address, browser type, pages requested, and timestamps for security and reliability. The Site uses your browser's storage in these limited ways: session storage keeps you signed in during a visit and remembers that you passed the access screen (it is cleared when you close the tab); local storage remembers your light or dark display choice and prevents duplicate form submissions. We do not use advertising cookies, tracking pixels or third-party analytics on the Site at this time. The Site loads fonts from Google Fonts, so your browser connects to Google to retrieve them.
2. How we use information
- To prepare quotes, arrange and manage charter flights, and coordinate with operators and ground providers.
- To create and manage your account and, where applicable, your membership.
- To prepare weight and balance information and passenger manifests that operators require.
- To send trip confirmations, itinerary changes, check-ins and follow-ups.
- To respond to questions and requests, and to send you offers or news about our services if you have asked for them or the law allows (you can opt out at any time).
- To keep the Site secure, prevent fraud and abuse, enforce our Terms of Use, and resolve disputes.
- To meet legal, regulatory, tax and accounting obligations.
3. How we share information
- Aircraft operators, crews and trip suppliers. Because we arrange travel but do not operate aircraft, we must give the operator and related suppliers (such as airport service providers and ground transportation or catering vendors) the information they need, which can include traveler names, dates of birth, weights, and identification details.
- Service providers. Companies that help us run the business, including website hosting and email, our database and login provider, payment processors, and similar tools. They may use your information only to provide services to us.
- Other people on your trip. If you add travelers or ask us to share an itinerary with someone, we share the relevant trip details with them.
- Authorities. Air travel is regulated. We may need to share traveler information with the Transportation Security Administration, U.S. Customs and Border Protection, foreign governments, law enforcement or other regulators, and we may disclose information to respond to legal process or protect rights, safety and property.
- Business changes. If LCG is involved in a merger, financing, or sale of some or all of its business, information may be transferred as part of that transaction.
- With your consent or at your direction.
We do not sell personal information, and we do not share it for cross-context behavioral advertising.
4. Retention
We keep personal information for as long as needed to provide our services, maintain business records, resolve disputes and meet legal obligations. Identity documents and similar sensitive trip records are kept only as long as they are needed for the trip and any related legal or operator requirements, then deleted or de-identified. Retention periods vary with the type of record and the law.
5. Your choices and rights
- Account information: you can review and update your account details by signing in, or by emailing us.
- Marketing email: use the unsubscribe link in any marketing email. We will still send service messages about your trips and account.
- Browser storage: you can clear or block browser storage in your browser settings. Parts of the Site, such as staying signed in, may not work without it.
- Access, correction and deletion: you may ask us to tell you what personal information we hold about you, to correct it, or to delete it. We may keep information we are required or permitted by law to keep, for example for tax, safety, fraud-prevention or dispute purposes.
If you have a client account, you can ask us to delete it from your portal using the "Delete my account" box. An administrator reviews each request. If approved, we remove your login and personal information and any quotes or trips that were never signed. We keep signed agreements and the bookings under them as business and legal records, with your email address, phone number and title removed from them.
For any other request, email info@landmarkcharter.com with the subject "Privacy request" and tell us what you are asking for. We may need to verify your identity before we act. Depending on where you live, including Texas and California, you may have additional rights under state law, such as the right to appeal our decision. We will not treat you unfairly for exercising a privacy right.
6. Notice to California residents
In the past 12 months we may have collected the categories of information described in Section 1 (identifiers, contact and trip information, signatures, and limited technical data) for the business purposes described in Section 2, and disclosed them to the recipients described in Section 3. We do not sell or share personal information as those terms are defined under California law. California residents may also request information about disclosures of personal information to third parties for their direct marketing purposes by emailing us with the subject "Your California Privacy Rights" and including their name and California address.
7. Do Not Track
There is no commonly accepted standard for responding to browser "Do Not Track" signals, so the Site does not respond to them. As noted above, the Site does not track you across other websites.
8. Security
We use administrative, technical and physical safeguards intended to protect personal information, including encrypted connections and access controls on our systems. No method of transmission or storage is completely secure, so we cannot guarantee absolute security. You are responsible for choosing a strong password and keeping it confidential. If you believe your information has been exposed, tell us right away at info@landmarkcharter.com.
9. Children
The Site is not directed to children under 13 and we do not knowingly collect information from them through the Site. Because families travel with us, we may receive information about minor travelers from a parent or legal guardian when they arrange a trip, and we use it only to arrange that travel. A parent or guardian may contact us to review or delete a child's information.
10. Where information is processed
We operate from the United States and the Site is intended for use here. Your information may be stored and processed in the United States and, where an international trip requires it, shared with foreign operators or authorities involved in that trip.
11. Links to other sites
The Site may link to websites we do not control. This Policy does not cover them, and we encourage you to read their privacy policies.
12. Changes to this Policy
We may update this Policy from time to time. When we make material changes we will change the effective date above and may post a notice on the Site. Continuing to use the Site after an update means you accept the updated Policy.
